NEACRAO Executive Board and Council Job DescriptionsExecutive BoardPresidentPreside over the Executive Council and assumes full responsibility for all general activities of the Organization. Serves as the regional representative for AACRAO. Prepares agendas for all Council meetings.
President-ElectServes are the chief assistant to the president and will succeed the President at the end of their term. In conjunction with the President and Past-President, the President-Elect will strengthen the Association’s relationship with the membership; leadership from other state and regional organizations; business partners; and exhibitors. The President-Elect has oversight to the Conference Committee, including the Conference & Meeting Chair; the Local Arrangements Chair; and the Vendor Chair.
Past-PresidentThe Past President shall serve as adviser to the President, the Executive Board, and to the membership. The Past President is responsible for site selection for a future annual conference; for review of the constitution and bylaws; and for coordinating awards, certificates, and honorary membership nominations. The Past President chairs the committee to select scholarship recipients.
TreasurerThe Treasurer is responsible for maintaining accurate and transparent financial records for the Association and for upholding its fiscal policies and procedures. The Treasurer will lead the Association’s financial operations with integrity and accountability, ensuring that all expenditures align with approved budgets and strategic priorities. The Treasurer will enforce all fiscal policies and procedures for the Association and will report any discrepancies to the Executive Board. The Treasurer will manage all banking activity for the President and President-Elect and for other designated roles, as appropriate, and will reconcile each account. At the end of each year, the Treasurer will prepare a complete formal report, including an accountant's review of financial statements, for distribution to the Executive Board and for submission to the next succeeding treasurer.
Treasurer-ElectThe Treasuer-Elect is elected at the annual meeting during the incumbent Treasurer's final term. The Treasurer -Elect serves for one year alongside the Treasurer and then will succeed to the position of treasurer for 3 years. Treasurer-elect shall serve as associate to the Treasurer and should the office become vacant, shall serve the unexpired term of the Treasurer.
SecretaryThe Secretary will be the custodian of the records of the Association and will keep the minutes of all the Executive Board meetings as well as the Annual Business Meeting. The Secretary will be responsible for collecting and presenting a slate of candidates for open positions at the Annual Business Meeting. The Secretary is responsible for the Association’s archives.
Vice President of Records and RegistrationResponsible for identifying, collecting, organizing, and supporting presenters and panelists for all Registrar-track sessions at the annual conference. Leads, guides, and supports the Registration co-chairs, especially related to setup of electronic registration for the annual conference, as well as any preparatory and day-of activities related to registration and check-in at the conference.
Vice President of Professional DevelopmentResponsible for coordinating and promoting professional development opportunities for NEACRAO members throughout the year beyond the annual conference. Engages with the membership to determine what topics and areas of focus may be of interest for future offerings. The VP of Professional Development also helps solicit presenters and sessions for the annual conference.
Vice President of Admissions and Enrollment ManagementThis position represents admissions and enrollment management functions. This position will assist in the advancement of: guiding creation of broad professional development programs related to admissions and enrollment management; offer leadership in establishing best practices and principles in the admissions and enrollment management services area; monitor trends and emerging issues pertaining to admissions and enrollment management.
Vice President of SystemsThe Vice President of Systems will be responsible for leading the Association’s technical systems and digital presence. This includes oversight of the development, maintenance, and accessibility of the Association’s website and being the person responsible for MemberClicks. In conjunction with the Vice President of Membership and Communications, this role will effectively communicate with members, support member data, and support the initiatives that enhance member engagement through technology. The Vice President of Systems will have oversight of the Event Registration Chair and work closely with them to ensure conference and member registration is seamless.
Vice President of Membership and CommunicationsThe Vice President of Membership and Communications will be responsible for developing and implementing plans for building the Association’s membership, collecting dues, and baseline data used to maintain the Association’s directory. The Vice President of Membership and Communications will be responsible for an effective communication strategy and work in tandem with the Vice President of Systems to execute the communications strategy. This role will have oversight of the Member Relations Chair and will work closely with them to ensure the Association maintains a robust membership.
Committee ChairsAll committee chairs are appointed by the President, based on the recommendation from the Executive Board. All chairs serve as ex-officio members (non-voting) of the Executive Board.
Conference and Meeting ChairThe Conference and Meeting Chair is responsible for coordinating conference events including, but not limited to: the conference program, maintaining the session grid; and working the Vice Presidents to collect sessions for the annual conference. This role will work closely with the Vendor Chair and Local Arrangements Chair to ensure a successful annual conference.
Event Registration ChairThe Event Registration Chair assists in creating conference registration forms and responding to inquiries regarding conference and professional development registration. They provide the Executive Board with any registration information to coordinate services for the conference. The Registration Chair assists at the conference registration table in conjunction with the treasurer to ensure all attendees are checked in appropriately and funds are collected.
Local Arrangements ChairThe Local Arrangements Chair will coordinate the conference events with the conference venue, A/V company, entertainment, and collaborate with the local Chamber of Commerce. Additionally, this role will coordinate NEACRAO After Dark and work in conjunction with the Conference and Meeting Chair as well as the Vendor Chair to ensure a successful annual conference.
Member Relations ChairThe Member Relations Chair will assist the Vice President of Membership and Communications with supporting member initiatives. This role will work directly with the membership to follow up on graced and lapsed members as well as solicit new members.
Vendor ChairThe Vendor Chair will work directly with conference vendors and exhibitors. They will solicit new vendors while maintaining a relationship with existing vendors for the annual conference. This role will coordinate vendor presentations for the annual conference. The Vendor Chair will work in conjunction with the Conference and Meeting Chair and the Local Arrangements Chair to ensure a successful conference.
